We’re looking for a Secretary Senior to join our team to provide administrative support, working toward the common goal of eliminating child and youth outcome disparities based on race and ethnicity. The Opportunity:
We are searching for a strategic, organized professional to join our administrative services team at our Richland office as a Secretary Senior. This individual will perform a wide variety of complex secretarial duties for a unit of Social Workers, Supervisors, and Community Partners. Additionally, the selected candidate will coordinate office operations and act as a receptionist to the clients and community members who enter the office.
Some of what you will do:
- Apply knowledge of various DCYF regulations, rules, policies, and procedures to answer a wide variety of possible questions.
- Answer multi-line phone system in a fast-paced environment.
- Greets clients, providers, and staff, and screens calls and visitors.
- Transfer calls to appropriate staff members.
- Act as a liaison between clients and social service specialists.
- Maintain office procedure standards such as the handling and processing of incoming and outgoing mail, handling and processing of background checks, home studies, provider requests, and placement changes while prioritizing deadlines and coordinating office operations.
- Research files, documents, and other sources to obtain or clarify information for staff pertaining to legal requests or CAPTA appeals.
- Prepare case files for filing for both dependencies and adoptions.
- Schedule conference rooms for staff and community partners, and visit rooms for Visit Supervision for parent-child visitations.
- Take notes and transcribes minutes for meetings.
What we are looking for:
High school graduation or equivalent, and two years of progressively responsible experience in office, secretarial, bookkeeping, accounting or general administrative duties..
In addition to those required qualifications, our ideal applicant will also have demonstrated knowledge, skills, and abilities to:
- Previously demonstrated FAMLink knowledge.
- Previously demonstrated proficiency in spelling, punctuation, grammar, and other English language skills, Type 50+ WPM.
- Previously demonstrated ability to use online applications and multiple software applications, i.e. Microsoft Word, Excel, Outlook, etc.
- Previously demonstrated ability to operate office equipment, i.e. Fax Machine, Copy Machine, Multi-Line Switchboard, etc.
- Previously demonstrated ability to communicate with a diverse group of people with sensitivity and professionalism.
- Previously demonstrated ability to communicate effectively and respectfully with Clients, Co-workers, and Supervisors both verbally and in writing as required to carry out the assigned duties of this position.
- Previously demonstrated ability to maintain client confidentiality.
